Managing artworks

You can list the artworks with key information such as artist's name, title, date of creation, dimensions, etc. The input of additionnal information such as location, availability, technique or category is facilitated by the dropdown lists, created as you enter values.
Each artwork can be represented by 3 images. Images can be resized automatically while inserting them or later on, in order to be sent by email, along with the work's description.
Numerous print templates allow you to print and save as PDF the lists, certificates of authenticity, artworks presentation sheets, etc.

Managing events

You can record any type of events: exhibition, art fair, consignment, customer proposal, etc., then easily create and print all kind of documents you need: price lists, labels in several formats, tags, consignment forms, lists of insured values... You can automatically add selected works to an event, class events by category and view related events directly in the work record.

Managing contacts

vGallery includes a complete address book module, which makes it simple to manage your contacts. You can create mailinglist, group contacts by categories; personalize each contact with an unlimited number of subcategories such as interests, favorite artists, preferences, etc...
You can prepare the mailing of invitations depending on country or tariff zone and choose your favorite label template.
Invoices related to the contact are automatically displayed in the contact record.
Thanks to support of vCard, you can export and import contacts without going through a manual entry.

Edition and printing of invoices

You can create any type of invoices: sales, commission, proforma, credit note, etc... Information relative to client and artwork can be automatically fulfilled from the Address Book and Works module.
The calculation of prices with or without taxes, tax amounts, discounts and balance due is done automatically.
Unpaid invoices are indicated by a color icon while the payments table allows you to manage installments.
The Export data to Microsoft Excel feature will greatly facilitate the task of your Accounting Service, during the annual review.

Managing books

You can list the books available for sale or for consultation, with all their details: price, ISBN number, number of copies in stock, etc... Registered books can be found in the Invoicing module and added to an invoice in one click. You can also search, sort, create lists of books according to your desired criteria.

Managing press articles

Press module allows you to import articles as Word or PDF documents or compressed in .zip folders. You can create categories and classify items according to the subject, link them to an event, artist, etc...

Search, Automation, Printing

The first goal of a database is to help you as quickly as possible find what you are looking for. vGallery fulfills this role thanks to its powerful search capabilities. Combined with its sorting features, it allows you to organize the information you need in a specific hierarchy.
Found data can be exported, printed or, when it's possible, transferred to another module.
The interoperability between modules greatly accelerates the input of information while avoiding typos.
Printing templates are customizable. They almost cover all printing needs the art gallery can have. You can also create PDF documents, natively on Mac and iOS and using a free software on Windows.

Import, Export, Sharing

vGallery recognizes vCard and most of other formats so you can quickly import your contacts from other applications.
You can add artworks by importing images per batch. Then, you can assign categories, series, etc., to works created this way in a single operation.
You can transfer your data to Microsoft Word, in order to have an almost unlimited choice of templates of letter and labels. You can also easily export data to other applications using one of most current formats.
The database can be shared between multiple users which allows them to work simultaneously.

Personalization

The main menu is flexible. You can organize menus according to your preferences and hide the modules you do not use. A General Preferences panel and a separate panel for each module are available.
The Identity panel allows you to insert the header and footer with your logo and information. vGallery includes also customizable print templates.

The personalization of print templates is included when you purchase your license. You just need to provide us with an example of documents in one of the current formats (PDF, Word, InDesign, Illustrator).

vGallery v2 - a 30-day free trial

In its current version, vGallery is only distributed via the Internet. It is available for download on this website or on partner websites, first as a trial version which can be converted into final version by purchasing the activation code.

The trial version is valid for 30 days from the first launch of vGallery on your computer.

Single-user version*

The price of a single-user licence is €1.850

We greatly advise you to download and test vGallery before making your purchase. The data you have entered during the 30 day trial period will be saved in case of purchase; an activation code with the purchasing invoice will be sent at your email address within few hours.

*A single-user version of vGallery can only be used on one device simultaneously (computer, iPad, iPhone).

Multiple users and Cloud versions

vGallery can be shared among multiple workstations through a local network or the cloud. Additional charges will apply depending on the number of computers and the selected network connection (local or cloud). Using vGallery on iPad or iPhone does not involve additional cost. The single-user version can be transformed into multi-user simply by purchasing additional licenses.

If you have a PayPal account, log in and click Connect. If do not have a PayPal account, click on the link Don't have a PayPal account? Then, follow PayPal instructions and go to the end of the purchase process. If the transaction is successful, a confirmation page will appear. We will send you by email your activation code within 24 hours.

Purchasing via bank transfer

If you wish to purchase vGallery using a bank transfer, please download the order form and send it by email at the address indicated in the document. You will receive the activation code after your payment is confirmed. The order form is valid for a single-user licence.

To activate your copy of vGallery, launch it and go to the menu Help -> Enter Activation Code at the top of the screen. Enter the parameters you received by email (use copy paste to avoid typos), then click Activate.

You can download and install a new trial in replacement of the former one. You will have another 30 days for the test starting from the first launch.

Yes, all the data entered during the test period are saved, you will find them once you activate your copy of vGallery.

If you can not find the email you received at the time of purchase, use the contact form on this website to ask for the activation code again. Remember to indicate the username and/or the email address you used for your purchase.

Yes, vGallery recognizes the vCard format; export your contacts from Mac Contacts then import them into vGallery (go to File -> Import vCard).
If you have created groups in the Mac application, the group name will be imported into Category 2.

If you have an image folder on your computer and you did not start yet to create records in Works module, the faster way to create records is to import the folder containing the images first, then complete the fields (when you import a folder, a record is automatically created for each image file).

To import a folder of images go to File -> Import Records. In the following steps choose Works as module name and Image Folder as source. Indicate the location of your images folder, click Select to start the importation.

To use vGallery on iPad, you must install FileMaker Go for iPad. This app is available on App Store. After installing FileMaker Go, you need to copy database.vg2 and valuelists.vg2 files in FileMaker Go, using iTunes.

The user interface is slightly different on the iPad. A drop-down menu replaces the main menu and allows you to switch from one module to another and the custom print templates are not available.

If you want to share vGallery database, FileMaker Pro 12 must be installed on each computer. In your local network, database.vg2 file must be opened with FileMaker Pro on the computer that hosts vGallery, and the option of the network sharing must be activated. Other users can connect via the Open Remote menu ... If the host computer has a fixed IP address, you can create a launcher for other users.

If your version of vGallery is hosted on our server, we will give you the address of the server to connect and guide you through the configuration. Do not hesitate to contact us for further information about the complete procedure.

The Events module allows you to record the selections of works which will be included in an exhibition at the gallery or an art fair, a consignment list of works, a commercial proposal, etc... From this selection, you can prepare price lists, labels and tags, consigment notes, shipping documents, etc.
You can view the artwork details from the event by double-clicking on its thumbnail, or see all events related to the artwork in its record.

By clicking on the colored icon next to the availability field. In the table that appears, you can add labels, or edit/delete existing ones:

You can copy the whole vGallery v2 folder on the new computer, or download a new version, activate it, then import your data from a backup. See vGallery Help for more details (chapter Advanced Features -> Import Data).

If you have stored images only as reference you probably moved or deleted them from your computer. See vGallery Help, chapter Basic features -> Entering data -> Insert multimedia files for more details.

If you import a large number of images in high definition and if your computer is not recent, it can occur that the execution of certain commands cause slowness in displaying records. To solve this problem, import your images only as reference or reduce their dimensions.

Sometimes, replace vGallery database file (database.vb2) with a saved compacted copy can also help. Also, you should maybe defragment your hard disk.

When you force vGallery to quit or you shut down your computer while vGallery is running, it may damage the database. In this case, you must replace it with a saved copy.
Open the vGallery v2 folder and locate the file database.vg2. Rename it (for example, to database_old.vg2). Open the folder that contains your saved copy then drag and drop it to the location of the damaged file. Rename the new copy to database.vg2 then restart vGallery.
